Terms & Conditions 2024
The Bitton Road Runners 5k Series (5k) is an out & back road race organised by the Bitton Road Runners (the Organiser). The course (Midlands Course 19/065) has been certified at 5k in length. The Series comprises of 4 races held on the following Wednesday evenings start time 7:30pm

*Race 1 in the 5k series will be run under UKA Rules and Regulations an

For all 4 races the minimum age for entry is 15 (fifteen) years of age on Race day.
All races are limited to 100 runners.
Entry fees:
Race 1
The entry fee for Race 1 will be £10 affiliated & £12 unaffiliated. Entry is via the RunEvents web site (runbritain). On the day entry only if the race limit has NOT been met and will be subject to a £2 surcharge.
The closing date for online entries for the Race 1 will be at noon on 7th May 2024. Race numbers to be collected from Race HQ Oldland Abbotonians, 14 Castle Rd, Oldland

Races 2, 3 & 4
Bitton 5k T&C Version 0.1
On the day entry only. The entry fee will be £10 affiliated & £12 unaffiliated. Race numbers to be collected from Race HQ Bitton Station, Bath Rd, Bitton, Bristol BS30 6HD.
For all 4 races in the Series the entry fee is non-refundable under any circumstances
Entry policy
The Organiser reserves the right to limit and or refuse entry without giving any reason or notice. The Organiser also reserves the right at its absolute discretion to exclude or disqualify any participants whom the Organiser is of the opinion to be acting in any manner which is against the interest of the Organiser or the event or which is in violation of the terms or any rules or regulations of the event or in case of (suspicion of) foul play or fraud. It is the duty and responsibility of the participant to ensure his/her legal eligibility to participate in the event.
Participants enter the 5k entirely at their own risk: The Organiser shall not be liable for any injury or loss occurring as a result of participation in the 5k (including, without limitation, any losses resulting from the Organiser’s negligence), provided that nothing in these terms and conditions shall exclude or limit the Organiser’s liability for death or personal injury resulting from the Organiser’s negligence or for any other type of liability that cannot be excluded or limited by law.
If the Participant has a medical condition it must be detailed at the time of entry and on the reverse of the race number worn on race day. The Participant agrees that, as far as they are aware, they are physically able to compete in the 5k and, to the extent that it may be necessary they have sought and relied upon any medical advice before the date of the 5k. Should any medical or physical condition arise prior tot he 5k which is likely to affect their ability to compete in the 5k, the Participant should withdraw from the 5k.
The Participant consents to any medical treatment being administered during the 5k by official medically-qualified personnel. The Organiser may prevent the Participant from taking part in the 5k (either at the start or during the 5k) if the Organiser, Marshall or
medical representative considers that the Participant should not participate in the 5k for health and/or medical reasons.
COVID-19
The Organisers of the 5k will follow any Government, England Athletes & ARC Guidelines in place at the time of the Race.
Please do not attend our events if:
• you have any symptoms of COVID-19
• have received a positive PCR or LF test in the last 14 days
• have been told to self-isolate

Please note that you may be asked for photo identification when collecting your number.
Entries cannot be assigned, sold, gifted, or transferred to any third party outside of the online transfer process. Any assignment, unauthorised transfer, or sale of a race number may result in delay and/or difficulty in an emergency and any such transfer, assignment or sale may result in disqualification of the Participant from the 5k and/or the Organisers filing a report to UK Athletics.
The Participant consents to the 5k being filmed, recorded or exploited by means of television, film, video or some other broadcast or media format and agrees to the use and reproduction of his/her name, likeness, appearance and photograph. All such commercial rights in relation to the same belong entirely to the Organiser and the Participant has no proprietary rights in relation to any film, photograph or other such recorded media. If the Participant does not wish for their image be used in this manner, they should contact the

Race 1: Personal items and items of clothing may be deposited prior to the race in the designated areas. However, the Organiser and officials do not accept any responsibility or liability whatsoever for the safe keeping or the storage of those items which are stored and deposited entirely at the risk of the Participant.
The Organiser shall use its reasonable endeavours to ensure that appropriate First Aid assistance will be available for the duration of the 5k. There will be clearly signed First Aid points at the start/finish. Volunteers and marshals in attendance at the race are not
medically trained and will not give medical assistance other than requesting an ambulance or paramedic if medical assistance is required. The Participant authorises the Organiser to pass on any and/or all information that he/she has provided to the medical teams operating on the day of the 5k if required for medical reasons.
The Organiser will use its reasonable endeavours to provide the Participant with a finish time save that the Organiser shall not be responsible for any anomaly or technical malfunction in relation to the same.
All Participants must clearly display the race number allocated to them on the front of their vest/t-shirt throughout the 5k.
Online race entry transfers are permitted following the process as detailed on the RunEvents web site (runbritian). All transfers must be completed by the date/time as advertised on the website.
Due to the narrow nature of the course, it is not suitable for wheelchair entrants. bikes, scooters, roller skates, pushchairs or any kind of mechanical aid are strictly prohibited from the 5k course on the day of the 5k. Blind runners must check with the Race Director before entering. If entry is agreed the guide runner will not be charged for their race plan.
Participants are not permitted to bring pets or other animals onto the 5k course. The running with dogs is not permitted.
The Participant must ensure that they have the correct equipment, footwear and clothing for the 5k as they require.
The Organiser may at any time during the 5k or prior to the 5k prevent the Participant from participating in the 5k if it considers such action is necessary for the safety and/or proper enjoyment of the 5k by the Participant and/or other participants and/or spectators.
All decisions and rulings by the Organiser shall be the final in respect of the safety, running and organisation of the 5k, the rules of the 5k and finish times and positions. The Participant accepts that circumstances concerning the 5k may change from time to time for reasons beyond the reasonable control of the Organiser and these may lead to the cancellation or change of the 5k, venue(s), route(s) or other such changes. The Participant agrees to abide by such change(s) and acknowledges that any decision is entirely at the absolute discretion of the Organiser.
The Participant agrees to the Organiser storing his/her personal information and using this information for the purpose of organising the 5k.
In compliance with the UK General Data Protection Regulation (UK GDPR), tailored by the Data Protection Act 2018 the Participant has the right to access and receive a copy of their personal data held on the Organiser’s computer by submitted a Subject Access Request (SAR). An individual can make a SAR verbally or in writing. In order to send the Participant a race pack the Participant authorises the Organiser to release personal details (including his/her full name and address) to the pack provider, charity (if applicable), any official photograph company and timing results company. The Participant also authorises the Organiser to disclose his/her information for medical purposes on the day of the 5k.
Those wishing to make a charity collection on the day oft he 5k must obtain prior written authorisation from the Organiser which the Organiser may withhold in its absolute discretion. Please note, the Organiser may not be able to grant authorisation for every
request. Requests can be submitted via email to the Organisers at bitton5k@bittonroadrunners.org. Any person found collecting on race day without the correct authorisation will be removed from the course.
For the purposes of these terms and conditions, a “Force Majeure Event” means an event beyond the reasonable control of the Organiser, including but not limited to: strikes, lock-outs or other industrial disputes (whether involving the workforce of the Organiser), failure of a utility service or transport network, act of God, war, riot, civil commotion, malicious damage, compliance with any law or governmental order, rule, regulation, direction or action by a government or public authority, accident, breakdown of plant or machinery, fire, inclement weather, flood, storm or default of the Organiser or subcontractors.
If, as a result of a Force Majeure Event, the Organiser deems in its sole discretion that it is necessary to cancel or change the route and/or length of the 5k, the Organiser shall be entitled to cancel, or change the 5k.
If the 5k is cancelled or amended as a result of a Force Majeure Event, the Organiser shall not be liable to Participants for any losses incurred as a result (including as a result of its negligence) except in respect of losses that cannot be excluded by law.
The Participant’s name will be added to the Organiser’s mailing list so that the Organiser can keep the Participant informed about other events of the Organiser. Such information will be not given or sold to 3rd parties unconnected with the 5k. The Participant can
unsubscribe to these communications at any time.
The Participant agrees to abide by all applicable rules and regulations imposed by the Organiser or any relevant sporting governing body that oversees the running of the 5k and the Participant will not be entitled to a refund of any entry fee if he/she is disqualified from the 5k as a result of any infringement of these conditions or any such rules or regulations.
The Participant accepts that the Organiser may introduce cut off times as they think fit to limit time taken to complete the 5k or any section of the 5k to ensure the safe and proper running oft he 5k and he/she may be instructed to withdraw from the race in accordance with those cut off times
A race cut-off time of 45 minutes will be strictly imposed. The race marshals will be stood down and normal rules of the road will apply. Participants on the course when the cut-off time is activated will be responsible for making their own way back to the finish.
The Organiser’s total liability, whether in contract, tort (including negligence), breach of statutory duty or otherwise in respect of any losses arising out of or in connection with the 5k shall be limited to a sum equal to the total entry fee paid by the Participant to the Organiser.
Nothing in these terms shall limit or exclude the Organiser’s liability in respect of death or personal injury resulting from its negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by law.
The Participant agrees to indemnify the Organiser in relation to any claims, action, liabilities or losses resulting from any breach of these conditions by the Participant.
The Organiser will not be liable for any pledges made by the Participant or on his or her behalf to any charity. Except in respect of losses relating to death or personal injury resulting from the Organiser’s negligence, obtaining insurance for personal accident and
loss as a result of the 5k is the sole responsibility of the Participant.
Disclaimer
The Participant accepts all conditions of entry set out herein or notified to him/her prior to the race or displayed at the race or any instruction given to him/her by the Organisers or officials of the race and the Participant acknowledges that the Organisers and officials of the race shall (subject to conditions above) have no liability for any loss or damage he/she may suffer including consequential or indirect loss as a consequence of his/her participation in the 5k (including but not limited to travelling to and from the 5k and during the 5k).
The Organiser accepts no liability for the state or condition of the surface upon which the 5k is held. The Participant should ensure that he/she is satisfied with the state and condition of the surface of the route before commencing the 5k.
Prizes
Cash Prizes will be awarded for each race in the series as follows:
Male 1st, 2nd & 3rd. (£25, £15, £10)
Female 1st, 2nd & 3rd. (£25, £15, £10)
Race Series Prizes:
Runners are automatically entered for the series on completion of 3 of the 4 races.
Runners who compete in all 4 races will have their best 3 times count towards a series
prize. Only one prize per runner.
Overall Series Prizes:
Cash prizes will be awarded as follows:
Male 1st, 2nd & 3rd. (£50, £30, £20)
Female 1st, 2nd & 3rd. (£50, £30, £20)
A non-monetary prize will be awarded to the first 3 runners in each of the following age categories.
